Data Processing & Client Data Handling

Axis Partners recognises that client data is a critical business asset and is committed to handling all information responsibly, securely, and in accordance with applicable data protection laws. Axis processes client data solely for the purpose of delivering the AI systems agreed upon with each client. Our data handling practices align with the UK General Data Protection Regulation and the Data Protection Act 2018.

Role In Data Processing

When delivering agreed systems, Axis may operate as either:

  • Data Processor: processing data on behalf of the client in order to operate AI systems within the client's business processes.
  • Service Provider: providing system infrastructure, integration, and maintenance while the client retains full control of their operational data.

Clients remain responsible for ensuring that any data supplied to Axis systems has been collected and processed lawfully.

Client Data Usage

Client data processed by Axis systems may be used to:

  • Operate automation workflows
  • Process operational documents or communications
  • Generate structured outputs such as reports, responses, or internal data retrieval
  • Improve system performance within the scope of the client's service agreement

Axis does not sell or commercially distribute client data to third parties.

Data Access Controls

Access to client data is restricted to authorised Axis personnel responsible for system development, integration, and technical support. Where possible, systems are configured to minimise the amount of personal data processed.

Data Storage And Retention

Client data is stored only for as long as necessary to deliver contracted systems and maintain system functionality. Retention periods may vary depending on system configuration, contractual obligations, and regulatory requirements. Upon termination of a service agreement, clients may request the deletion or return of their operational data where technically feasible.

Third-Party Infrastructure

Axis may utilise trusted infrastructure providers for cloud hosting, database management, system monitoring, and communication and support tooling. All third-party providers are selected based on their ability to meet appropriate security and compliance standards.
